Job Title: Operations Manager

Location: Hersham, Surrey

Position Type: Full-time, office-based

Reports To: Managing Director

About our client:

Our client is an NSI Gold approved electronic security installations company, operating across London and the South East. Our client was founded in 2016. Since then, the company has grown to 8 employees and a £1.2M turnover. The team are experts in electronic security, many being industry veterans who have worked for some of the largest companies in the industry.

You will be joining a small, dynamic team who have a strong work ethic and pride themselves in doing a great job. You will be provided with all the necessary tools and equipment required for the job.

Job Description:

The operations department is integral to the smooth running of the company; connecting our engineers with our sales team, suppliers and our customers. Over the years there has been significant investment into this department in the form of software and systems, as well as time spent defining processes that enable us to run an efficient business.

Reporting to the Managing Director, the Operations Manager is responsible for the seamless coordination of operational activities within the business. Core duties include:

Call Management:

Efficiently handle and respond to all incoming calls to the office, providing exceptional customer service and promptly addressing inquiries or concerns.

Stock Control:

Conduct annual stock takes and ensure accurate records are maintained.

Monitor and replenish stock levels in engineers' vans and day-to-day materials in stores to support operational requirements.

Manage the return of materials deemed unnecessary or faulty to suppliers for credit, maintaining

detailed records on spreadsheets.

Generate purchase orders for both job-related and store materials.

Log invoices onto the SimPro system and manage acceptance of deliveries, organising materials for engineers as necessary.

Maintenance Management:

Initiate and oversee maintenance procedures, including sending maintenance emails and reminders,

scheduling maintenance visits, and managing maintenance trackers.

Close maintenance visits via SimPro eForms.

Invoice for batteries or other sundry items used on the maintenance visit.

Liaise with the client on any remedial works required highlighted on the maintenance visit.

Create tasks for future maintenance notes and ensure the maintenance tracker is kept up to date.

Ensure the maintenance engineers have a full stock of replacement of batteries as needed.

Documentation and Compliance:

Managing regulatory NSI paperwork. This will include workmanship audits, 6 monthly in-house audits by the NSI, ensuring all paperwork and tracking documents are up to date and compliant.

Enter installation paperwork into site attachments accurately and efficiently.

Organise WEEE waste and battery collections in compliance with regulations.

Facilitate the booking in and out of plant equipment as required.

Manage the renewal of Pyronix Cloud subscriptions to maintain uninterrupted service.

The successful candidate will possess the following skills and experience:

5+ years’ experience in operations management or a similar role, preferably within the security installation industry.

Strong organisational and multitasking abilities, with exceptional attention to detail.

Proficiency in utilising relevant software and systems such as SimPro (or similar CRM system) and Microsoft Office Suite.

You will be a self-starter with the ability to use your own initiative and problem solve challenges as and when they arise.

You will have excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams as well as multiple suppliers and customers.

Familiarity with industry regulations and compliance standards is beneficial but not essential.
